Privacy Policy

Last updated 11 July 2026

VoiceNote is built so there's almost nothing to have a privacy policy about. Your voice, your transcripts and what the app learns about you stay on your computer. Here's exactly what that means — in plain language.

The short version

When you dictate, everything happens on your device — the audio is transcribed locally and then discarded. We never receive your voice or your text. There's no analytics inside the app, no account to create, and we can't read anything you write.

The only personal information we ever handle is what you actively give us: your email address if you write to us or ask for product updates, and — if you buy VoiceNote — the purchase details our payment provider needs to issue your licence.

What stays on your device

The following never leaves your computer. We can't see it, and there's no server for it to go to:

  • The audio of you speaking — held in memory only long enough to transcribe, then wiped.
  • Your transcripts and the finished text VoiceNote produces.
  • Your personal dictionary and everything the learning engine picks up about your names, jargon and voice.
  • Your dictation history, which lives in a folder on your machine that you fully control.

What we collect

We keep this to the minimum needed to sell and support the app:

  • Purchase and licence details, handled by our payment provider (see Payments) — this includes your email and licence key, not your card number.
  • Basic licence-activation data — a hashed device identifier and your app version — so a licence works on the number of devices your plan allows.
  • Anything you choose to send us: an email, a bug report, or your address if you sign up for product updates.

What we don't collect

  • Your voice recordings or transcripts.
  • The content of anything you dictate or write.
  • An account — there isn't one.
  • Advertising or cross-site tracking data.
  • Your location, contacts, files or browsing history.

Payments

Purchases are handled by Polar, our merchant of record. When you buy VoiceNote, Polar processes the payment, issues your licence key, and manages receipts, refunds and card details — we never see or store your card number. Polar's handling of that data is governed by their own privacy policy.

The website and update downloads

Visiting this website and downloading VoiceNote involve the ordinary network requests any website makes — your browser or the app connects to our hosting and content-delivery provider, which can see your IP address and the file you requested. We use this only to serve the site and the app; we don't build advertising profiles from it.

On first launch, VoiceNote downloads the speech model you choose from our hosting. That's a normal file download over HTTPS — no personal data is attached to it.

On the website only, we use Google Analytics (GA4) to understand aggregate traffic — which pages are visited and roughly where visitors come from — so we can improve the site. This never runs inside the VoiceNote app, which has no analytics or telemetry. Block it with any analytics blocker if you prefer; we don't use it for advertising or cross-site tracking.

If you give us your email address to receive product updates, we store it only to send you those updates, and you can unsubscribe at any time.

Third parties we rely on

We keep the list short:

  • Polar — checkout, payments, licence keys and refunds.
  • Our hosting and content-delivery provider (Google Cloud) — serving this website and the app downloads.
  • An email provider — only if you contact us or opt in to updates, to deliver that email.

How long we keep things

Purchase and licence records are kept for as long as we need them to support your licence, handle refunds and meet our tax and legal obligations. Emails you send us are kept as long as needed to help you. Anything on your own device is yours to keep, export or delete whenever you like — uninstalling removes it.

Your rights

Because we hold so little, most requests are simple. You can ask us to access, correct or delete the personal information we hold about you — realistically, your email and purchase record — by writing to hello@voicenote.au. Depending on where you live, you may have specific rights under laws such as the GDPR (EU/UK), the CCPA/CPRA (California) or the Australian Privacy Principles, and we'll honour them.

Children's privacy

VoiceNote isn't directed at children under 16, and we don't knowingly collect their personal information.

Where we're based

VoiceNote is made by Stipple AI Pty Ltd in Sydney, Australia. If you use it from elsewhere, the limited information we handle may be processed in Australia and by the providers named above. We only work with providers that offer appropriate protection for your data.

Changes to this policy

If we change how we handle your information, we'll update this page and the date at the top. For anything significant, we'll do our best to tell the people who've given us their email.
